Hiring Employees without complying with the Employment Eligibility Verification Requirements is a violation of the sanctions Law !!
Responsibilities of the Hiring Office:
When any employee is hired, the supervisor's office or department is responsible for giving them a checklist appropriate for that position. These lists make them aware of what we need to process them. The checklist also directs them to call our office to schedule an appointment. PLEASE DO NOT SEND YOUR EMPLOYEE TO US WITHOUT AN APPOINTMENT ! Call (228)826-1757, ext. 305.
If new employees schedule their appointments with us prior to actually starting work, we will obtain the necessary documentation from them. However, if the employee has been working for 3 days and has not yet been in for processing with us, your office is responsible for completion of the I-9 form.
Every time you hire any person to perform labor or services in return for wages, a Form I-9 must be completed. To comply with the law, we must verify the identity and employment eligibility of anyone we hire. The completed I-9 should be immediately forwarded to the Business Office. If you hire a person for less that 3 business days, Sections 1 and 2 of the Form I-9 must be fully completed at the time of the hire - when the employee begins work.
If employees are unable to present the required document(s) within 3 business days of the date employment begins, they must present a receipt for the application for the document(s) within 3 business days. We should not be working anyone beyond 3 days if they do not supply us with this documentation.
IT WOULD BE WELL TO REQUEST THE DOCUMENTS FOR THE COMPLETION OF THE FORM I-9 UPON NOTIFYING THE INDIVIDUAL THAT THEY ARE HIRED.
